Peak Season Survival: Management Tips for Overwhelmed PMs

If you’ve been in property management long enough, you know what peak season feels like. Inspections, move-ins, maintenance dramas, and owners wanting updates right now. And if I’m honest, some days, I really do feel like I’m just reacting to whatever’s shouting the loudest.

I used to think the solution was to simply push harder. More hours, fewer breaks, inbox always open. But that’s the fastest way to burn out. 

I learned quickly that hard work doesn’t fix peak season. Good leadership does.

Here are the strategies that actually help me get through peak season without losing my mind.

1. Break Down the Chaos

Peak season feels overwhelming because everything demands your attention at once. My trick is simple: face the stuff you’ve been avoiding.

  • Write it down: the tricky conversations, overdue decisions, or operational bottlenecks you keep putting off.
  • Pick one small next step. Don’t try to solve it all today, just move it forward.
  • Schedule it. If it doesn’t have a time in your calendar, it won’t happen.

Even small actions make a huge difference. I’ve seen problems shrink just by taking one step instead of letting them sit in my head for days.

2. Use Technology to Lighten the Load

Just recently, peak season chaos hit hard. We had dozens of inspection requests coming in all at once. Instead of running around trying to manage bookings over the phone and email, our online system handled it all seamlessly.

Here’s how to take the pressure off with the tools you already have:

  • Almost every platform offers automation features. Maximise them and save yourself hours.
  • Keep your tools connected. Integrate your apps so data flows automatically. Less manual work, fewer mistakes.
  • Review your tech stack regularly. Platforms evolve fast. Check for new features or upgrades you can use to work smarter.

3. Focus on What Only You Can Do

Not every task on your plate requires your attention. It’s easy to get stuck in the weeds, but trust me, your time is too valuable for that.

  • Prioritise urgent inspections, owner communications that only you can handle, and maintenance that truly affects occupancy or safety.
  • Delegate or outsource the rest. Having inspections taken off your plate can be a huge relief during peak season. It means your team isn’t running from property to property while trying to manage emails and owner calls at the same time. You get to focus on the decisions and communications that truly need your expertise, and your team can work more efficiently knowing the inspections are being handled reliably.

4. Lean on Your Team

I’ll admit, I used to try to do it all myself. Big mistake. It only leads to burnout for both you and your team.

  • Give staff permission to make decisions on the spot. It keeps work flowing and builds their confidence.
  • Rotate workloads fairly. Don’t let the same person carry the brunt every day.
  • Celebrate wins, no matter how small. Completing a last-minute inspection or resolving a tricky tenant request counts. Recognition goes a long way, especially under pressure.

5. Take Care of Yourself as a Leader

You can’t lead if you’re running on empty. I’ve spent far too many peak seasons trying to “hero through” and it never works.

  • Take breaks, even tiny ones. Step away from the chaos.
  • Protect time for the decisions only you can make.
  • Reflect on what worked and where your team needs support.

Final Thoughts

Peak season will test you. There’s no sugarcoating that. But feeling overwhelmed or leading effectively comes down to how you manage the workload, your team, and the difficult things you keep putting off.

I still have days where I feel stretched to my limit, but being transparent about what needs attention and trusting my team makes the chaos far more manageable.
