Property Condition Reports/Ingoing Inspection Reports

The minimum prescribed information set out by your states regulatory authority is strictly implemented for all of our Property and Ingoing Condition Reports.

We do not use base templates or pre-defined sentences, and all our reports are written individually. Our descriptions are accurately detailed, not overly lengthy and complicated. Property Assist has implemented a clear and precise training method for all staff to ensure all wording is unbiased, accurate, and easily understood by all parties.

Photos are provided with the report. Our aim is to provide the same level of detail in our photos as what is outlined in the description of each area. You will be provided with clear and date-stamped photos supporting the comments in the description. We don’t have a minimum or a maximum number of photos as each property is uniquely different, and the number of photos will range depending on the size and condition of each investment property you manage.

Our quality, unbiased, and individually written reports are sent to you in your chosen format or can be typed into your office’s inspection software. All Ingoing and Property Condition Reports are supplied with your own company branding and can be customized to your office’s requirements.

Final Inspections/Outgoing Inspections

Keeping all Final Bonds or Outgoing Inspections in-house is now a thing of the past for Property Managers.

To help speed up the process, we provide you with a minimum of two documents and a full re-shoot of the property, which can be sent to both the tenant and owner and will ease the bond dispute process.

Our inspectors are completing the final inspection with no preconceived opinion of the tenancy, and this is helping bond negotiations immensely.
We are solely comparing the property's current condition to that of the original report, which the tenant sighted at the beginning of the tenancy.

Routine Inspections

We prefer to work as an extension of your team; therefore, we are flexible and happy to accommodate your needs.

  • We schedule all dates and times for you and will accommodate tenant requests to change.
  • We can use your office inspection software, or we can customise a report layout for you.
  • We provide a suggested cleaning or maintenance report for the tenant and owner, if required.
  • If we notice urgent maintenance or repairs, you will be contacted while we are on site.
  • We do not charge travel fees.

Home Opens

Suit your prospective tenant’s needs! We are available!

  • A register will be emailed to the Property Manager after every completed home open. Or we can use your office leasing software to register attendees.
  • We retrieve the prospective tenant’s name, contact number, and email address.
  • They will be directed to you to apply for the property.
  • Should they have any additional comments or concerns, you will be notified, and the tenant will be encouraged to contact you for further information.

Inventory Reports

When furniture is provided as part of the property, an accurate inventory report is compiled to note all additional items at the property. This will form part of the Ingoing or Property Condition Report or Outgoing/Final Bond Inspection report.
  • We will provide you with a detailed report of all items in each room. 

  • We list the item, its current condition, and capture all relevant model and serial numbers.

  • All loose items—kitchenware, linen, and homewares—are specifically counted and accompanied by photos as evidence. Each item has a description written as well.

Commercial Property Condition Reports

Though there is no requirement for an Ingoing report on a commercial property, it is widely recommended as a “worthwhile investment” for an owner. While the “make-good” requirement in the lease might be sufficient in most cases, it isn’t in some. Our reports are used as a safe haven to refer back to during disputes. It is easy for tenants to remove the signage they installed, leaving a mess underneath, or leave a few lights not working in the warehouse, saying “they never worked, anyway”; however, having all parties agree to the condition of the premises at the start of a tenancy can adequately reduce the vacate procedure at the end of the tenancy.
